PROPERTY MANAGEMENT

We will start the “Make-ready”, this refers to the process of preparing a property for new tenants. It is a crucial step in property management that ensures the property is clean, functional, and visually appealing. All of this will us to lease the property quickly and get you the best price.

Yes, we will make sure the property is well mantained while it’s vacant.

Rent is collected on the first of each month and after that owner statements and payments are processed. Funds are transferred via direct deposit.

We enforce a strict rent collection policy. If rent is not received on time, we promptly follow up with the tenant and apply late fees as outlined in the lease.. If needed, we also initiate eviction proceedings.

Yes, we provide detailed monthly and annual financial reports showing all income and expenses related to your property. These reports are accessible through our online owner portal.

Yes, we perform inspections during vacancies, tenant occupancy, and at move-out. Regular inspections help maintain the property and allow us to address potential issues early on.

If eviction becomes necessary, we handle the entire process, including paperwork, court representation, and coordination with law enforcement if required. Our aim is to protect your legal interests and regain possession of the property swiftly.

Yes, property owners are required to have insurance to rent out a property. This typically includes landlord insurance, which covers the property itself against damage, liability in case of accidents, and loss of rental income if the property becomes uninhabitable. It’s also recommended that tenants have renter’s insurance to protect their personal belongings.

Some of our rental properties allow pets. Homeowner preferences and insurance policies generally determine what type and how many pets are allowed. To find a pet-friendly rental home, search the available properties and click Amenities and select Pets Allowed and if desired, select Fenced Yard.

We welcome pets in rental homes that allow pets, however, we must ensure tenants are responsible pet owners and respect other residents in the area. Both landlords and tenants should be up-to-date on city ordinances controlling pet ownership and management. The following list of pet ordinances is not exhaustive, but it does cover the main questions pet owners and landlords are likely to have.

Real Property Management’s Pet Restrictions
Each rental home managed by Real Property Management may have unique restrictions for pets depending upon the type, number, and size of the pet. In addition, city pet ordinances limit the number of pets per pet owner, with exceptions to newborn pet litters. Most rental properties do not allow certain breeds of dogs including Dobermans, Rottweilers, Chows, and Pitbulls because property liability insurance policies will not cover injury caused by these breeds. Real Property Management tenants who have pets are asked to maintain their own liability insurance in regards to their pets.

General Rules and Regulations
Most cities and counties have pet ordinances that all Real Property Management clients must abide by as pet owners.  Below are common ordinances, however, check with Animal Control in your local area to make sure you understand and comply with all pet rules and regulations.

Normally, you must register your dog or cat with the city within a certain timeframe of acquisition, and the license tag must always be attached to your pet. Most pet licenses need to be renewed periodically.

Most city ordinances require a pet to be kept on a leash at any time the pet is off its owner’s residence, except when in officially designated off-leash city property. Dogs and cats in heat must be kept in a secure enclosure, preventing their exposure to any free-roaming males.

If your dog bites a person or another animal, city pet ordinances usually require you to notify the police or an animal control officer immediately, and not leave the scene until an officer has authorized you to do so. Always assist the victim as needed and give your contact information to the victim.

City pet ordinances also usually require you to control your dog’s barking at all times, both day and night, and the police have the power to impound your dog if it is barking incessantly and you can’t be reached.

Whether by law or not, tenants should always clean up after their pets as a courtesy to others and the surrounding property.

The lease will be automatically reewed unless one of the parties gives written notice of termination 60 days before the expiration date.

If a tenant breaks their lease, they may be responsible for paying rent until a new tenant is found or until the lease term ends, whichever comes first. They might also forfeit their security deposit or pay additional fees as outlined in the lease agreement. However, there are cases where special conditions—such as military deployment, safety concerns, or legal rights—allow tenants to move out early without penalty. It’s important to review the lease and discuss specific circumstances for more details.

We use advanced technology and local market expertise to evaluate your property’s rental value. Our process includes:

  • Comparative Market Analysis: We analyze similar properties in your area that are currently listed or recently rented to understand market trends.
  • Property Features and Condition: We consider your property’s size, number of bedrooms and bathrooms, amenities (like a pool or updated kitchen), and overall condition.
  • Location and Neighborhood: Proximity to schools, shopping centers, public transportation, and neighborhood safety play a significant role in rental demand and pricing.

If we don’t rent your property in 29 days or less (when following the recommendations of your Real Property Management team), you will receive a discount on your first month’s management fee.

We use an appointment-only self-showing service, allowing prospective tenants to view properties at their convenience without needing an agent present. This provides flexibility in scheduling, ensures privacy during viewings, and speeds up the rental process by allowing quicker access to available properties.

TENANT SELECTION

We conduct a comprehensive screening process for all potential tenants, including credit checks, criminal background checks, employment and income verification, and rental history. Our goal is to select reliable and responsible tenants for your property.

We offer leases for one year or longer to provide stability and peace of mind for both tenants and property owners. Longer leases help property owners benefit from reduced vacancy rates and a consistent rental income.

Everyone over 18 years old must sign the lease to ensure they are legally responsible for the rental terms. All occupants under 18 will be listed on the document for record-keeping purposes, but they won’t be required to sign.

We require a security deposit of at least one month’s rent to protect against potential damages and unpaid rent. However, the amount may vary based on factors such as credit history, rental background, or special circumstances.

RENT COLLECTION

Rent is due on the first day of each month and can be paid using electronic payment, a cashier’s check, or any method accepted by the landlord. This ensures timely payments while offering flexibility and convenience for tenants.

If the rent payment is not made by the 3rd day of the month at 11:59pm, Tenant will pay a 12% late fee.

Landlord may place the security deposit in an interest-bearing or income-producing account and any interest or income earned will be paid to Landlord or Landlord’s representative.

MAINTENANCE

We keep a maintenance reserve on the property to cover the cost of routine repairs and unexpected maintenance issues. This reserve ensures that funds are readily available for minor repairs or urgent issues, helping to maintain the property’s condition without delays.

We understand your preference for using your own vendor; however, we work with a network of highly vetted and trusted professionals who provide quality service at competitive rates. Our vendors are reliable, fully licensed, and familiar with our processes, ensuring timely and efficient maintenance. This helps protect your investment and keeps your property in top condition.

Tenants are responsible for paying all utilities, including water, electricity, gas, and any other services required for the property. This ensures transparency and allows tenants to manage their own usage and expenses.

Before starting any major work or repairs, we will always you to discuss the issue and obtain approval. This ensures that you are fully informed and in agreement with the scope of the work and any associated costs before proceeding.

We conduct periodic inspections to ensure the property is being properly maintained and taken care of. These inspections help us identify any potential issues early on, ensuring that the property stays in good condition and that both the tenant and owner are meeting their responsibilities.

In most rental agreements, the property owner is responsible for covering the cost of regular maintenance and repairs, especially for issues that affect the habitability of the property (e.g., plumbing, heating, structural issues). Tenants are typically responsible for minor repairs or maintenance due to their actions (e.g., changing light bulbs, yard upkeep).

Tenants are not allowed to smoke on the property, as we maintain a smoke-free environment for the health and safety of all residents. This policy helps prevent fire hazards, protect the property from damage, and ensure a clean living space for everyone.

Tenants can request maintenance services online or by phone and you will be notified as the work order is submitted. We work with licensed and insured contractors who respond promptly and professionally. For major repairs, we obtain estimates and get your approval before moving forward.
